The Role

Reporting to the Chief People Officer, you will provide a high-level of administration support to the Corporate Services team including our Chief Executive, Head of Corporate & People and Head of Accounting Services. Key responsibilities include, but are not limited to:

Administrative Support:

  • Support with general HR administration
  • Support recruitment activity with interview scheduling and application management.
  • Scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and distribute correspondence, memos, and reports.
  • Conduct research, compile data, and prepare documents for consideration and presentation to executives, boards of directors, and committees.
  • Supporting Accounts with expenses & payroll processing.

Meetings & Event Coordination:

  • Organise company quarterly meetings and summer and Christmas events.
  • Coordinate and organise executive meetings, including preparing agendas, materials, and meeting minutes.
  • Arrange logistics for in-person and virtual meetings, including room bookings, equipment setup, and refreshments.

Communication:

  • Screen and direct phone calls, emails, and other communications.
  • Draft and edit high-level communications and presentations.
  • Maintain our internal communication systems.

Office Management:

  • Oversee office supplies inventory and place orders as needed.
  • Ensure the executive office operates efficiently and professionally.
  • Assisting with H&S activities and compliance.

Confidentiality:

  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Adhere to company policies and procedures regarding information security and data protection.

Location & Commitments

  • Permanent part time contract.
  • Office based - Langstone, Newport, Wales office.
  • Standard Baseline Personnel Security Standard (BPSS) including Disclosure Barring Scotland (DBS) is a minimum requirement for all roles. This will be completed as part of pre-employment checks by de Novo’s third party supplier Credence. Security Clearance (SC) may also be required; where this is not held candidates must be willing to go through this process.
  • Successful candidates must be able to prove their right to work in the UK and meet UK Security Vetting requirements as per Government guidelines Prove your right to work to an employer: 
  • Remuneration & Benefits
  • Starting salary £25,000 pro rata per annum (part time, 22.5 hours per week – flexible).
  • Eligibility to enrol into the Company auto-enrolment pension scheme (within 3 months of commencing employment). The Company will contribute 5% of qualifying earnings (rising to 7% from December 2024); your contributions will be based upon UK government legislation.
  • Annual leave entitlement of 25 days per annum plus Bank Holidays. Our holiday year runs in line with our accounting period from 1st June to 31st May.
  • Eligibility to participate in the employee utilisation scheme. You could earn up to an additional 10% of your gross basic salary per annum paid over three instalments across the preceding financial year (The Employee Utilisation Scheme is non-contractual and may be subject to change or removal at the sole discretion of the Directors. Further information on how you have opportunity to potentially achieve these earnings will be discussed once you have joined the Company and objectives and targets have been set)
