Our Cardiff Academy Team is looking to employ an Academy Administrator who will either be home based or located at County Hall, Atlantic Wharf, Cardiff, CF10 4UW. This role will involve a significant proportion of home working however you will continue to be supported and engage with team members through Microsoft Teams as well as regular contact onsite.

Cardiff Academy is part of our Human Resources Service, providing training opportunities for Council employees and to other public sector bodies in Cardiff. The successful applicant will work as part of a team to deliver this first class service.

About the job

In this role you will:

Demonstrate excellent customer service and business administration skills by undertaking reception duties for delegates attending Academy courses, setting up rooms (including virtual reception duties via Microsoft Teams) for training courses, dealing with day to day Academy enquiries via e-mail and telephone, sending out course booking details (Joining Instructions) to course attendees, recording course participation levels and evaluation forms. This will be a combination of tasks being undertaken digitally and face to face.

You will also undertake additional admin duties including the raising of purchase orders using SAP software and collating statistical information relating to Academy courses being delivered.

We are moving to online and homeworking working and you will be encouraged to develop the skills to support this. Where homeworking is required, you will be given the necessary equipment however, you will need to arrange your own internet connectivity.

Additional Notes – Standard working hours 8:30-16:30 however flexibility when required to work outside of these hours Monday to Friday.

What We Are Looking For From You

You will have experience of working with customers, either on a face-to-face, telephone or e-mail basis, with a commitment to providing high quality customer service. You will have a good IT, communication and organisational skills.

Job Purpose:    

The Academy Administrator will be responsible for:

  • Providing administrative support to employees and management within a Learning and Development environment. 
  • Processing and coordinating training and development requests.
  • Capturing and maintaining Learning and Development records.

Duties and Responsibilities

Job Specific Requirements

Providing administrative support to the Cardiff Academy:

  • Preparing and producing documentation to support Corporate Course provision activities, including promotional material for advertising Academy courses. 
  • Providing a reception service to meet and greet delegates on a course, both on a face-to-face basis and virtually on Microsoft Teams. 
  • Ordering goods and services via the SAP EBP Procurement System. 
  • Liaising with external providers and agencies as required
  • Inputting Training and Events in DigiGOV and SharePoint.
  • Processing invoices and internal/external charges and maintain budgetary control and other financial records.
  • Providing advice and guidance to customers regarding L&D Corporate Course provision queries and issues, via a dedicated Academy mailbox. 
  • Updating all appropriate learning records and systems in DigiGOV and SharePoint
  • Produce timely Performance Reports.
  • Undertaking activities, including delegate care, to ensure effective course delivery and evaluation. 
  • Ensuring Academy service delivery SLA's and standards are consistently met.
