Job Description

Purpose of the role

To be part of a HR team to support managers and staff with all employee relations issues, as well as support with ensuring all employee related matters are fully compliant form a legal and regulatory perspective in a coach/guide/support remit.

Responsibilities

  • Employee Relations
  • To support the HR team with all employee relations matters including grievances, disciplinaries, wellbeing and absence.
  • To support line management and investigating or disciplining officers with co-ordinating and organising meetings to include invitation letters, Teams invites etc.
  • Ensure all paperwork including minutes, letters, and all relevant documentation is accurate and bundles co-ordinated for formal meetings and tribunals.

HR Documentation/Administration

  • To maintain and update employee records on the HRIS, promoting self service functions across the organisation
  • To support with the administration of contractual changes by ensuring appropriate paperwork is sent out and all necessary databases are updated.
  • To issue contracts of employment as necessary.
  • To carry out Disclosure and Barring Service renewals where required
  • To carry out Visa and Sponsorship responsibilities, ensuring we remain compliance and legal at all times
  • End to end Employee lifecycle
  • Ensure documents such as probationary review forms and RTW forms are received from the managers and saved to individual personnel files
  • Audit information for all services providing reports for assigned HRBP to take to management meetings
  • Collating results from employee surveys for respective HRBP and CPO
  • Population the annual engagement calendar and supporting communications with the administration for the HR events
  • Maintain multiple email accounts and ensure processes are completed

HR Support

  • To respond to general queries from managers and employees
  • To assist with the effective archiving of personnel records
  • To issue references in response to reference requests
  • Maintain multiple email accounts and ensure processes are completed

Employee Relations

  • To support the HR team with all employee relations matters including grievances, disciplinaries, wellbeing and absence.
  • To support line management and investigating or disciplining officers with co-ordinating and organising meetings to include invitation letters, Teams invites etc.
  • Ensure all paperwork including minutes, letters, and all relevant documentation is accurate and bundles co-ordinated for formal meetings and tribunals.

Projects

  • To support the HoHR and HRBP’s with corporate projects and activities and contribute towards company initiatives when necessary.

General

  • To maintain appropriate confidentiality of information relating to the Company and its staff and maintain compliance with the Data Protection Act.
  • To adhere to Company Health, Safety and Environmental Policy at all times
  • To ensure compliance with Company Policies and Procedures.
  • To assume any other tasks and duties commensurate with level of role
  • Answering internal/external calls to the HR Support Centre providing first line advice
  • Promoting equality and diversity as part of the culture of the organisation
  • Fully participate in Induction of new starters
  • Conduct training to management community on a topic that you are responsible for
  • Work in collaboration across the business with a coach/guide/support approach

Experience

  • Social Care sector knowledge preferred
  • Employment Law preferred
  • Policy development preferred
  • Knowledge of contracts of employment essential
  • Safeguarding desirable
  • DBS
  • GDPR
  • IT Literate
  • Experience in Visa’s and Sponsorships
  • Strong communicator – both written and spoken

Qualifications

  • Completed CIPD level 3
  • Good general standard of education
  • Willingness to work towards CIPD Level 5

Skills

  • Demonstrable experience in a similar role
  • Experience of dealing with employee relations cases including disciplinaries, grievances, wellbeing and absence
  • Experience within a regulated environment preferred.
  • Proven experience of building strong relationships with internal and external stakeholders.
